Start with the detail the reader needs

You have scanned a set of pages and the thumbnails look tidy. Before sending them, open one page at a readable size. Look at the information the recipient will actually use: a date, a reference number, a footnote or the last line near the bottom edge.

A page can look crisp in a small preview while a reflection hides a few words. Check both edges and the area near a book’s spine. If a word is missing in the image, changing the export format will not bring it back. Retake that page while the paper is still in front of you.

Read the sequence, not just the page count

A file with twelve pages can still contain page six twice and no page seven. Move through the scan in order, using printed page numbers or the first line of each page as your reference. Check that diagrams and their captions stay together.

For a two-sided handout, compare the front and back as a pair. A blank back may be intentional; a missing answer sheet may not be. The goal is a document that makes sense to someone who never saw the paper.

Open the copy you will actually send

After exporting from vFlat, open the saved file in the app you plan to use for reading or sharing. This checks the finished file, rather than relying on the scanner’s preview.

  1. Confirm that the first and last pages are the ones you intended to include.
  2. Turn through the file and check orientation, margins and small text.
  3. Check the recipient’s requested file format and any attachment size limit.

Give the file a useful name

Use a name that tells the next reader what is inside, such as workshop-notes_2026-10-12_pages-03-08.pdf. In that example, the range describes the printed source pages, not the six pages counted by a PDF viewer. Use whichever convention fits your work, but keep it clear.

If you replace a page and export again, open the newer copy before attaching it. Two files with nearly identical names are an easy way to send an old version by mistake.

Make the final handoff deliberate

Look at the attachment one last time: the right document, the right pages and the right recipient. Notes or personal details in the margins may be useful to you without belonging in the shared copy.

vFlat handles the scan; this short review checks the handoff. Keep the paper nearby until you have opened the exported file and confirmed that it contains what you need.
